Position Overview
We are seeking a highly motivated HR & Scaling OS Coordinator to serve as a central back-office support role across our portfolio of businesses, including manufactured housing communities and essential service companies. This individual will manage end-to-end recruitment and HR administration while also owning the core Scaling OS processes that drive company execution.
The ideal candidate is flexible, detail-oriented, and personable, with strong organizational skills and the ability to balance people-focused HR work with operational excellence. This role starts with an HR/Recruitment foundation and is designed to grow into a broader Operations position, supporting leadership in scaling the business 10X.
Key Responsibilities
Recruitment & Onboarding (Core)
- Manage the full recruitment cycle: sourcing, interviewing, hiring, and onboarding across multiple businesses.
- Build and maintain talent pipelines to ensure staffing needs are met quickly.
- Coordinate job postings, candidate outreach, and hiring campaigns.
- Ensure smooth onboarding and training of new hires into company culture and systems.
HR Administration & Compliance (Core)
- Maintain certifications, licenses, insurance renewals, and compliance records for all entities.
- Coordinate and track franchise taxes, annual legal filings, and compliance documentation.
- Manage employee records, HR systems, and benefits administration.
- Ensure compliance with U.S. labor laws, HR regulations, and company policies.
SOPs, Training & Reviews
- Develop, document, and implement SOPs for HR and administrative processes.
- Train managers and staff to consistently follow SOPs and HR practices.
- Conduct employee reviews and support performance management systems.
Scaling OS / Operations Support
- Own and maintain company-wide scorecards, ensuring metrics are updated and reviewed weekly.
- Track and follow up on quarterly Rocks and key initiatives across departments.
- Prepare materials and reports for Weekly Pulse Meetings and Quarterly Reviews; ensure meetings run smoothly and action items are followed up.
- Support leadership with cross-functional projects and process improvement initiatives.
- Help document and standardize processes for long-term scalability.
Qualifications
- 5+ years of experience in HR, recruiting, or operations coordination roles, with exposure to both HR administration and cross-functional project management.
- Strong working knowledge of U.S. HR practices, compliance, and workplace culture.
- Proven track record of building and documenting SOPs and ensuring adoption across teams.
- Demonstrated ability to manage HR admin tasks (licenses, insurance, compliance filings, benefits, payroll coordination).
- Experience in multi-entity or entrepreneurial environments preferred (real estate, service-based, or scaling businesses a plus).
- Familiarity with EOS / Scaling OS strongly desired, with ability to manage scorecards, rocks, and meeting cadences.
- Strong analytical and project management skills, comfortable tracking metrics and reporting to leadership.
- Tech-savvy: proficient in HRIS/ATS systems, QuickBooks Online, Google Suite/Microsoft Office, and able to learn new tools quickly.
- Excellent communication and interpersonal skills; able to coach managers and influence across all levels.
- High integrity, detail-oriented, and able to thrive in a fast-paced, scaling environment.
Growth Track
This role begins with a core focus on HR administration and recruitment but is designed to evolve into a broader Operations leadership position. As the company scales, the HR & Scaling OS Coordinator will:
- Take ownership of Scaling OS processes (scorecards, quarterly planning, Rocks).
- Lead cross-functional projects in HR and operations.
- Present people & ops metrics during leadership reviews.
- Grow into an Operations Manager role with responsibility for integrating HR, operations, and execution discipline across all businesses.
